LV Craft Shows Set-Up Instructions


The following instructions are applicable to most events

Check-in times:

Check-in time will be announced in the venue specific set up email sent the week of the show. Please calculate your setup time and be ready 15-30 minutes before the opening of the show.


LV Craft Shows VIP Club members (paid membership) may start checking in earlier. Show your VIP badges at check-in. We will have badges for the new VIPs.

Where to load in:

Once at the loading area, please unload, and then move your vehicle immediately to the designated parking area or parking garage (depending on the venue) to allow for others to unload. (Loading time limit varies by venue from 15 to 30 minutes). THEN SET UP YOUR SPACE.

Outdoor events:

When choosing outdoor events, you agree that you are aware that bad weather may happen. And that it may show up without notice on the weather forecast.

Las Vegas is well known for high winds, pretty much year-round. High heat in late spring through early fall, high

humidity and monsoon weather during summer months. It is all doable, you just need to prepare accordingly, or skip those months that could be uncomfortable for you. We also highly recommend to obtain vendor insurance, in case high winds break your tent or products, or other people’s items or hurt anyone.

LV Craft Shows, On The Edge Promotions, any of our venues, or any staff members are not responsible for loss,

damage, or injury.

CANOPIES must be white or black or with custom logo (must be pre-approved) and must have straight legs, and

each leg must be secured with a minimum of 40-50 lbs weight. NO EXCEPTION!!

Night Market events: You need to bring lighting – battery operated is best as power is limited or not available.

Running late or being a no-show:

EVERYONE needs to be checked in 1 hour prior to show opening time, even if you don't need a lot of time to set up. If you have not checked in (or have not talked to me about being late) by then, you will forfeit your space and we will use it as we see fit - as stated in our rules & regulations - and it does not entitle you to a refund.

Regarding Masks:

LV Craft Shows follows the given rules and guidelines by the CDC as well as the State and venues.



Booth spaces:

All items, all boxes, all people, chairs, tables, ect. must be INSIDE your booth space!! Please do not extend to either side, or set up things behind or place signage outside to prevent trip and fall. Also, please NO carpets, unless you can tape it down securely. You then will also need to add a yellow caution tape outside your booth to alert people that a trip hazard may be in place. This applies to indoor AND outdoor events!!


Food trucks:

Food trucks must have all permits ready to show, must have their watering stations, and everything that SNHD requires ready one hour prior to show time. Food trucks are NOT permitted to use power outlets unless with prior written approval and then no more than 5 amps to avoid blowout of circuits.


  • Space information:

    Spaces are different sizes. Please keep all your things within the perimeters of your space. WMC will have pipes and drapes, other venues will not. Some may have a tape to mark it, Silverton has 2x2 carpet squares to use as reference.

    All merchandise, fixtures (including tables, chairs, etc.), signage, YOURSELF & your helpers must be confined within the parameters of your booth. Anything set outside of the booth area poses a safety risk. During show time, please do not place anything outside of your booth. You may store things under your tables (as long as you completely drape them).

    You may orient your table or grids anyway you wish if your space allows for this (not always possible in 8x4 or 10x4 spaces). If you have additional display material (grid-wall, extra table, stands, etc.), you may use it as long as it is confined within your booth space. This includes your chairs; they must be inside your own booth.

    All aisle-ways are to be kept clear at all times as per fire marshal’s fire code. That includes you! Be inside your booth (if your table is pushed back, you may be in front of the table, but still need to be out of the aisles).

    Also, never ever step out of your booth and try talking to people who are looking at your neighbor’s booths or across booths, you may only approach them as they walk by YOUR OWN booth. You wouldn’t want that to happen to you.

  • Electricity:

    Power access varies by venue. A fee for electricity may apply. See detailed info inside the email. We suggest to bring portable power supplies. If there is power access, you must bring your own extension cord (25-50 ft long), power strip, and gaffing tape (to prevent trip and fall).

  • Internet access / Wi-Fi:

    Wi-Fi access varies by venue. Some venues offer free Wi-Fi, but it is often spotty and or does not support streaming or are not secure for running credit cards. Some venues offer a Wi-Fi upgrade for an additional fee. Consider setting up a hotspot via a second device.

    You can still use the credit card offline feature on your square. Just get that person’s contact info, check their ID, and make a note on your receipt (we assume you keep receipts of your sales). It is very doubtful that someone will purposely hand you a bad card knowing that the internet is spotty.

  • Break time / Lunch time:

    If you need to take a break and don’t have a helper, please ask your neighbor to keep an eye on things, or text Susi at 702-339-6689 that you need a break and we will send someone to sit in. Please give a few minutes notice.

  • Food / Drinks:

    As per the SNHD we are not allowed to bring any outside food/drinks to the venues. If you bring your waters or morning coffees, that’s fine. Please take advantage of the food places on site. However, if you bring a little snack and eat it away from your booth, you should be ok.

  • Tax forms:

    THIS APPLIES TO EVERYONE!

    EVERYONE will receive a sales tax form as you come in (it will either be at your booth or handed to you). This form also serves as your sales event permit for the day (different from city permit).

    TAX ID numbers is NOT the same as EIN number! Tax ID number must be obtained from the Nevada Dept of Taxation!!

    As per NV Dept. of Taxation law you are required to collect 8.375% sales tax. You may include that in your sales amount, but if you do, please post a note "Sales tax included" to avoid people questioning why some vendors add taxes and why some don't.

    At the end of the event, we need the top two portions of the tax form completed (including sales amount), signed, and returned to us with a check or the tax ID number on the form. IF YOU PAY YOUR SALES TAX TO US (because you do not have a NV Dept of Taxation Tax ID number), PLEASE complete the form and pay your taxes by check made out to "Nevada Department of Taxation."

    IF YOU PAY QUARTERLY or Monthly, PLEASE put the total sales amount into the required area and then PUT YOUR TAX ID# in the Sales Tax Due section. DO NOT WRITE IN THE AMOUNT YOU OWE! It needs to have your tax ID there instead, else we end up paying for it. 

    IF YOU DO PROMO/DEMO ONLY, put "Promo/Demo Only" in the Sales Tax Due section. DIRECT SALES COMPANIES, i.e. Tupperware, Scentsy, etc., PLEASE put the total sales amount into the required area and then put “Paid to (your company name)” in the Sales Tax Due section.

    FOOD Vendors, it is your responsibly to check with the tax department IF your food sales are exempt. Not all are! You still need to fill out the form and may enter EXEMPT in the Sales Tax Due section.

    AFTER THE SHOW, PLEASE DROP OFF YOUR completed tax form with a check or a valid Tax ID number (for those filing monthly/quarterly). NO CASH! (Cash payments must be approved prior). You can get a blank bank check from your bank to use for the tax payment. We file monthly (by end of the following month), so please make sure that funds are in your account from show day on through end of next month. You will be responsible for any fees or penalties if your check bounces.

    WE DO NOT KNOW WHEN THE TAX DEPT CASHES YOUR CHECKS!!

    Please note that we have to submit all your information to the Nevada Dept. of Taxation weeks prior to each event and then follow up with the completed/updated tax forms w/ payments or applicable info. It is NV law! Failure to turn in your tax form may result in penalties.

  • Tear-down / Load-out

    ALL vendors shall keep the displays intact until the end of the show and NOT start packing until the show is officially closed). NO wheels, boxes, carts, or cars may be brought into the loading area or booth until you get the OK from show management that we are clear to move out. This is a liability requirement per venues and show management!! We must make sure that the area is clear of attendees and shoppers, no matter how busy or slow it is. Plus, it may pose a safety hazard as well.

    Also, keep in mind…sometimes the best sales happen literally at closing time. We have had late shoppers at most recent shows. There are guests who may be working and not be able to come in until the last hour, and we need to allow for that. Plus, vendors love to shop as well and usually can’t do so until the last hour.

    When vendors start to tear down, customers may get the impression the show is over and this may have an adverse effect on your fellow vendors' sales.

    Any vendor tearing down early (prior to closure of show) may risk exclusion from future shows, and no refunds will be issued. Thank you for your cooperation! If it’s too slow for you, walk around and support other vendors by shopping from them. As long as someone is at your booth.


    At Tivoli, you may need to obtain a car pass before being able to bring back the car to load out. Cars may not enter the streets until 30 minutes after show closes and all guests have vacated the venue. You must show photo of dismantled booth to get car pass.

  • Vendor Solicitation!

    If anyone approaches you during our show asking you to become a vendor at their show, please let one of us know or get their card and give it to us. Same if they are trying to sell you something. We do not allow solicitation of any kind during the show. This show is for YOU to sell YOUR items and not for others to recruit you or sell to you.

    We do permit people taking cards and contacting you after the show. Just no business talk during the show, unless they are buying something from you.

  • Photo & Video Release:

    The promoter may take video, photos, do a live feed during the show, etc. of the event, vendor booths, products, and more, and use them as they see fit. These may be used but not limited to event promotion, marketing material, Facebook, websites, TV, or other things. Vendor understand these become property of the promoter and acknowledges their consent to use such items. The promoter also agrees any marketing material such as fliers, Facebook posts, or other advertisement may be used by the vendor to share to promote events by the promoter.

  • Guest Attendance:

    LV Craft Shows has no control over actual guest attendance or promises any specific results, esp. since we are still in the middle of a pandemic. Having said that, since starting up shows again during Covid, we have had nothing but successful events with lots of attendees.

    So, let us just do the best we can and welcome everyone who is willing to be out and about during these challenging times. Smile!!! No matter how few or many people come by, it’s up to YOU to sell!!



    Please always refrain from any profanity and political preference...verbally as well as printed on products. The sale of said items is prohibited. These are family friendly events and should be a fun environment without any conflict. Thank you.

  • Advertising:

    LV Craft Shows advertisements include ads on TV, Banners, Billboards, Radio, Facebook (close to 300 groups), Craigslist, many online & print event listings, newspaper, digital ads, eblasts, YouTube, numerous social media outlets, and more...

    If you are on Facebook, please visit our FB page at www.facebook.com/LVCraftShows and help us share the event posts. The more we all share, the more people will come.

    Although LV Craft Shows does have an advertising budget based on the event size, we are all in this together to make it the most successful show possible. Please invite friends, family, customers, etc.. Post the event on your websites, Facebook pages, and groups. Share our posts, fliers, etc.. Email your customers on your payment portals, i.e. Square, PayPal, etc.

    The power of a great show can greatly be magnified if we all work together.

    Again, we do all we can to make these events successful, but it is up to each vendor to do their part as well...from the invitations to customers, to sharing our events everywhere, to a great display, and most of all...you must talk to everyone!!! Don't sit there waiting for people to talk to you...You may end up on the losing end otherwise. We have many vendors who do well at every single show because they talk to everyone.

    WE KNOW THAT IT CAN BE DONE!! WE CAN'T WAIT TO SEE YOU ALL!

    Show promoters, LV Craft Shows team, On The Edge Promotion team, venue staff, and/or management are not responsible for any damages, incidents, or losses incurred by vendors, guests, LV Craft Shows staff, volunteers, venue staff, or bad weather.

  • Swag Bags:

    We will do swag bags at select events, mostly indoor events. Details will be emailed or posted on the active vendor group page on Facebook.

  • Facebook:

    We have a LV Craft Shows Vendor group on Facebook. It's a private group for LVCS vendors to share ideas, ask questions, share your crafts/products, and more.

    Please join us also at the Active Vendor Group Page. This group is only for those who are actively doing our shows.

    In addition, you should already like our main Facebook page at https://facebook.com/LVCraftShows. That’s where you can find many ads that you are welcome to share. VIP members have their own group.

  • Cancellations/Refunds:

    LV Craft Shows has a very strict no-refund policy. No exceptions! No transfers, no credits, no subletting, no matter what the reason may be. Thank you for your cooperation.

  • Sales of food/sampling of food/handing out food:

    If you are planning to sell any type of food or are planning to offer samples of food (including dips), please make sure you have the necessary paperwork and permits needed. You will need either a health permit and or cottage license, TFE, business license, and insurance. Some may also need a specific sampler’s permit. In addition, it will be YOUR responsibility to provide any of the items the health department requires (water container, cooler, etc.). Contact snhd.info for information.

    Please upload the required paperwork to your vendor portal account (under documents) and be sure to have it with you at time of the event.

    Handing out any food made at home without a cottage license is not permitted! Not even as a gift.

  • Vendor’s property/insurance:

    All the vendor’s property at the show shall be at the sole risk of the exhibitor and LV Craft Shows® assumes no responsibility for loss or damage there to. Vendors are responsible for obtaining their own general liability insurance for the event.

  • Laws and regulations:

    The vendor is responsible for all knowledge of laws, regulations, or ordinances pertaining to public safety and their business while participating in the event. Compliance is mandatory and the sole responsibility of the vendor.

  • Fire and safety regulations:

    (For those receiving electricity), all extension cord usage must be of commercial 3-prong grade. Bring a 3-prong commercial “power strip” if you need more than one outlet. Each vendor using electricity must bring an extension cord of 25′ or more. Please bring gaffing tape with you to tape down your extension cord and or power strip. If you do not have these items with you, we may not be able to give you electric service. Outdoor venues do not have electric access (with very few exceptions).

    As per fire marshal, you may not exceed your assigned booth space or place items in the aisles. You may use straight leg tent frames indoors (if booth size permits it), but no covers.

  • Loading and unloading:

    All vehicles used for loading and unloading must be removed from the loading area as quickly as possible so as not to obstruct traffic, block fire zone, or delay other exhibitors in their unloading and set-up efforts. You will receive notice of when/where and how to unload in an email the week of any event. Outdoor vendors will not be able to park at their sites. And not all vendors will be able to pull up to their sites to unload but we will get you as close as we can. All vendors must park in designated parking spaces as stated in the set-up email provided the week of the event.

  • Sales tax:

    Please note, all vendors at all events will be required to fill out and submit a sales tax form per day. It does not matter if you are informational, selling, direct sales, promotional, etc. It is the law!

    Every vendor will be required to submit a tax form. You will receive said form at the beginning of the show (at multi day shows, we will issue the form on the last show day) and will need to turn it in after the show closes before leaving the venue.

  • Licensing/Permits:

    There may be a $10 vendor permit fee for shows held in the City of Las Vegas city limits. This fee will be waived if you provide your CoLV business license number at time of application.

    LV Craft Shows® and all vendors need to be compliant with the EFT law as per the State of Nevada for licensing of each individual vendor if not already licensed. Please state your Tax ID# or State of Nevada business license number on your registration form. If you do not have a State of NV business license, LV Craft Shows® will cover the EFT fee for you (where applicable) for up to two shows per year. After that, it will be $3 per event.



    We do issue one-time event permit for all vendors. However, if you are doing more than 2 shows a year, you may need to consider getting a business license and your own Tax ID#. Please check nvsos.gov and the NV Dept of taxation at https://tax.nv.gov for information.


  • Indemnity:

    The exhibitor/vendor accepts all risks associated with the use of the exhibit space and environs. The exhibitor shall not make any claim or demand or take any legal action, whatsoever, against LV Craft Shows®, the show sponsors, or the facility in which the show is held, for any loss, damage or injury howsoever caused, to the exhibitor, its officers, employees, agents, or their property.

    The exhibitor agrees to indemnify and hold harmless LV Craft Shows®, show sponsors and the facility, their respective officers, agents, and employees, against all claims, costs and charges of every kind resulting from their occupancy of the exhibit space or its environs, for personal injuries, death, property damages or any other damage sustained by the exhibitor/vendor or its officers, agents, employees, or those for whom in law they are responsible, or LV Craft Shows® or a visitor of the show.

    Vendors will be asked to acknowledge that he/she has read the rules & regulations for the event listed and agrees to abide by them & that all information given in the application by the vendor is actual and true, including signatures.
